You can define the storage area in the Deployment Tool. With memoQ 2015 (build 7.8.50) and higher, a new tab called Project file system was added. Your server administrator is able to change the default storage area. The default location is under ProgramData, in a separate subfolder called memoQ server project file storage.

You can also access the Files storage on the Files tab.

How to begin

Open an online project for management: From the Projects list, select the project you want to open. On the memoQ online project page, click the Files icon on the left.

Note: The Files category is only visible if you created a project from a template and specified the automated export options.

The file structure is displayed collapses (closed) top-level folders. This gives you a better overview if you have many files in several folders. As long as you have this online PM window open, memoQ remembers which folders you extended and which ones you collapsed. If you close the project and reopen it within the same memoQ session, you will again see the top level view with all folders collapsed.

Define the automated file export options. When the workflow step is reached, e.g. all files are delivered by the translator, then the automated step is executed. The files are automatically exported and saved in the Files category.

Options

Columns:

Name: This column contains the name based on the structure. The file type is represented by its operating system defined icon in front of the file name.

Size: The file size in kilobytes.

Created: The creation timestamp of the document (when it was written to the hard drive).

The following context commands are available:

Open: Click this command to download a copy of the file and open it with its default application; you need to save the file explicitly from the application. This command is not available if you selected multiple files.

Download as ZIP: Click this command to create a ZIP file from all selected files before downloading them. You need to provide a storage location in a file browser.

Delete: Click this command to delete the selected file(s). A Confirmation dialog appears when you wish to delete more than one file. There is no recycle bin deletion on the server.

Folder size: This calculates the size of the folder and all its subfolders and displays it ina popup window.

Select All: All at the current level is selected.

Unselect All: This removes all selections.

Searching and sorting

Furthermore, you can sort the Files list. Sorting works similar to the Sort by options in the Dashboard. You can sort by name, size and creation date. The scope of sorting is always at leaf level.

Use the arrow button next to the Sort by drop-down list to change the sorting order from ascending to descending or vice versa.

Use the Search field to search files and folders by name. Press Enter to filter the Files list. Filtering searches the current subtree, i.e. the currently displayed folder and all its subfolders.

Note: You are responsible to set up the file and folder structure in the project templates. It is advised to set up a reasonable folder structure in the project template, e.g. not to export files to the same root folder of the project. If you change file and folder names, you may be prevented in finding important data. If you delete a file or folder, you may not be able to restore the file(s) or folder(s) if you have no backup process in place.

Note: If you need a backup, you need to manually create a backup of your files. The memoQ server is not keeping a file database of exported files. If you are using Kilgray's memoQ cloud server, then the automatic backup is already in place. You are covered by the Service Level Agreement. Kilgray is creating regular backups of your memoQ cloud server.

Note: No metadata is maintained for the exported files.

Navigation

Click the Refresh Files button (icon_refresh) on top of the Files list to refresh the files list to display newly added files or to no longer display deleted files.

Check the Select All check box to select all folders, its subfolders and files in it. Uncheck this check box to deselect all files. This check box is useful when you search for a file or folder name across several folders.

Click theicon_downloadAll icon  in the top right corner to download the contents of the current folder in one ZIP file.
