Use this dialog to control how memoQ imports Microsoft Office Word 2007, 2010 or Microsoft Office Word 2013 (*.docx) documents. The import of *.dotx files is also possible.
How to beginIn the Translations pane of Project home, choose Import > Import with options button on the Documents ribbon tab, and in the Open dialog, locate and select a Microsoft Office Word 2007, 2010 or 2013 file (with the *.docx extension). Note: When you import a DOC file, the DOCX filter is automatically taken. When you use the DOCX file format to import your documents, then the layout for a bilingual Trados DOC changes. If you plan to export your imported DOCX file into a memoQ project to export as bilingual Trados DOC for being translated outside of memoQ, please use the DOC filter on document import. OptionsGeneral options tab Markup section: •Import markup as inline tags: Choose this radio button to import formatting as XML-like formatting tags. This option will give you some insight into the nature of each formatting tag. •Import markup as memoQ {tags}: Choose this radio button to import formatting as traditional memoQ {tags}. This option will show tag numbers instead of tag contents, but the text itself might be easier to read in some cases. Content to import section: •Import hidden text: Check this check box if you want hidden text to be imported with document. •Import TOC: Check this check box if you want the table of contents to be imported with the document. •Import comments: Check this check box if you want comments to be imported with the document. •Import index: Check this check box if you want the index to be imported with the document. Excluded styles section: Here you can specify both external and internal styles that you do not want to appear in the translation grid. External text will behave as non-movable structural elements, while internal text will behave as movable inline tags. •Excluded styles text box: Enter the name of a style you want to specify as external or internal. •External: Check this check box to specify the style you entered as external. Uncheck this check box to specify the style you entered as internal. •Add style: Click this button to add the style you entered to the list of excluded styles. •Remove style: Click this button to remove the selected style from the list of excluded styles. Note: If you import a DOCX document without invoking this dialog, the default options (shown on the screenshot above) are used. Note: If you import a DOCX document with tracked changes, memoQ will import the document as if all the changes were accepted. Special characters section: Here you can specify how memoQ should handle soft breaks and tabulators. A soft break is a break at the end of a line that occurs automatically at a pre-defined right margin or at the end of a page. A soft break can also be inserted manually by pressing Shift+Enter. The tabulator is a character that provides uniform indentation for the first line of each paragraph. Your options for these special characters are the following: •Start new segment: Choose this option if you want memoQ to start a new segment at each soft break and/or tabulator. This is the default value for soft breaks. •Show as inline tag and start new segment: Choose this option if you want memoQ to show each soft break and/or tabulator as an inline tag and start a new segment at each of them. •Show as inline tag: Choose this option if you want memoQ to show each soft break and/or tabulator as an inline tag. This is the default value for tabulators. Fidelity section: •Ignore font "hints" for cleaner import check box: A font change may be needed when you are translating for example from an Arabic or Asian language into a Latin language. But your source text contains some Latin words. Before we introduced the font substitution option, every switch between the Latin and Arabic/Asian characters resulted in tags in the imported source text because MS Word implicitly changed fonts there. In many cases, you do not need those font changes in the target text because if you are translating from Japanese (with some English words like company names etc. interspersed) to English, then the target text will probably not contain any Japanese characters. Technically speaking, it is more complex than that. A formatting can include the information for example "use this font if the part of text is Asian, but use that font if it is Latin." There is also a "hint" attribute on each part of text inside a DOCX file that gives MS Word a hint about what type of script the specific part of text probably is (Asian, Arabic, etc). The goal of this attribute might be to help MS Word to find out on the fly, every time Word displays that part of the document. memoQ ignores the "hint" attribute if you use this option. The attribute will probably not be meaningful in the translated text, or at least it is very likely that the script will change, because you translate from Japanese to English. •Ignore minor formatting changes for fewer tags check box: This is useful when you work with a scanned document or a document converted from a PDF file. Check this check box to reduce the number of tags in your translation document. When this option is turned on, memoQ will ignore formatting changes such as baseline shifts, character spacing changes, and character compression.
Comment options tab
In the Comment options section, choose the level of the comments you want to import: •Do not import comments: Choose this option to not import comments. •Import as text to translate: Choose this option to import comments as translatable text. •Import as memoQ comments: Choose this option to import as memoQ comments. choose the level from the Category drop-down list: Information, Warning, Error, Other. The levels are the same as you use for highlighting text in the translation grid. If the comment is within a segment, the comment is added as a subsegment comment for the source text. If the comment covers exactly the segment, the comment is added as a comment for the source. Note: Comments in Word can span across several sentences, these comments are imported as row-level comments for each segment that the Word comment affects. The comment is duplicated. Note: Comments in Word can be formatted (bold, italic, underline). No formatting is kept in memoQ. If you import hidden text, then the comments in the hidden text are imported as well. If you do not import hidden text, then the comments in the hidden texts are not imported as well. Note: Exporting comments is optional for DOCX files. Choose your export options in Options > Options > Miscellaneous > Translation. You can choose to export or not to export comments based on their severity level, or chose to export all comments.
Compatibility tab
Choose how memoQ should process documents saved by Microsoft Office versions that are newer than Office 2007. This means Office 2010, 2013, and 2016. There are pars in the documents as extensions: for example, text boxes. In new versions of Office, these are saved in two variants: The content is there for the newest Office version. And there is another copy for compatibility reasons, to be read by Office 2007 or earlier versions. You have three choices: •Import all extensions: memoQ imports both versions of the extensions. This means that some of the contents are imported twice: once from the up-to-date extension, and once from its legacy counterpart. •Import most recent extensions: memoQ imports the up-to-date extensions only. If you open the document in Office 2007 or earlier, you won't see the translations of these. Use this option only if the document was created in a newer version of Office, and it will be used in a newer version than Office 2007. •Keep and import only Office 2007 compatible content: memoQ imports the legacy content only, and exports a document that doesn't have the up-to-date extensions. This is the default choice. NavigationClick OK to proceed with the import. Click Cancel to leave the dialog without importing the selected file or files.
